How to Write Emails That Feel Personal Even When Sent to Thousands
The best marketing emails feel like they were written for one person. Here is how to achieve that at scale.

The Paradox of Mass Personalization
Your subscribers know they are on a list. They know your email is not exclusively for them. And yet, the emails that convert best are the ones that feel like they were written for exactly one person.
This is not deception — it is specificity. The more precisely you write for your ideal reader, the more every ideal reader feels like you wrote it for them.
The One-Reader Technique
Before writing any email, write one specific person's name at the top of your draft. Not your audience segment — a specific real person who is your ideal subscriber. Write the entire email to that one person.
Then, when you send it to thousands, every subscriber who matches that profile will feel like you wrote it for them. Every subscriber who does not match will filter themselves out naturally.
The technique works because mass emails feel impersonal when they try to speak to everyone. They feel personal when they speak precisely to someone.
Language Patterns That Create Intimacy
Use "you" more than any other word Count the "you/your" versus "we/our/I" ratio in your emails. High-converting emails have a 3:1 or higher ratio of "you" to "I."
Name the specific situation Not "many consultants struggle with X" but "if you have ever sat down to write a LinkedIn post and stared at a blank screen for 20 minutes, this is for you." The specific scenario creates instant recognition.
Write at conversational pace Short sentences. Paragraph breaks after every 2–3 lines. A reading experience that feels like a text message from a smart friend, not a marketing department.
End with a genuine question "Hit reply and tell me which of these resonates most." People who reply to marketing emails become deeply engaged subscribers. The ask also signals that you actually want to hear from them — which feels personal, because it is.
